CHURCH SECRETARY JOB DESCRIPTION

Overview

The Church Secretary supports the Pastor and church leadership by managing administrative systems, communications, records, scheduling, and ministry coordination. The Secretary safeguards confidential information, maintains accurate church records, and performs all duties in a manner that glorifies Christ and supports the mission of Wells Memorial COGIC.

Key Responsibilities

Records and Filing

  • Establish and maintain the church's master administrative filing system.
  • Follow church Record Retention Policies and procedures.
  • Maintain permanent records of active members; retain inactive member records for 24 months after inactivation; and maintain posthumous records of active members permanently when authorized by church resolution.
  • Maintain and update Baptismal, Christening, and membership records.

Calendar and Communications

  • Maintain the computerized church calendar, including events and upcoming correspondence.
  • Distribute the monthly calendar to leadership, Deacons on duty, and the congregation, and communicate changes promptly.
  • Retrieve and distribute postal mail daily.
  • Screen calls for the Pastor and manage access appropriately.

Publications and Correspondence

  • Prepare, organize, and assemble the Sunday bulletin and verify accuracy with appropriate leaders before publication.
  • Prepare routine, confidential, and dictated correspondence for the Pastor, including visitor letters and ministry communications.

Pastoral Support

  • Keep the Pastor informed of member crises, needs, and significant concerns.
  • Assist with visitor letters, Sunday bulletins, sacramental records, membership files, and speaking engagements.
  • Attend committee meetings, ministry team meetings, staff meetings, church functions, and receptions when requested to provide administrative support.
  • Coordinate speaking engagements and related logistics for the Pastor.

Ministry Coordination

  • Provide monthly calendar notifications and updates to Deacons on duty.
  • Work closely with ministry leaders and church staff to ensure information and materials are distributed accurately and on time.

Work Hours and Reporting

  • Part-time position as determined by the church.
  • Work hours, Tuesday – Friday 10:00 a.m. – 2:00 p.m.
  • Occasional evening and weekend availability may be required based on ministry needs.
  • Reports directly to the Pastor.
  • Works closely with church staff, Deacons, ministry leaders, and congregation members.

Success Measures

  • Accurate and compliant membership and sacramental records.
  • Timely and error-free Sunday bulletins and monthly calendars.
  • Clear, professional, and responsive communication on behalf of the Pastor.
  • Proactive coordination that supports effective ministry operations and pastoral care.

Qualifications

  • Administrative experience in an office or ministry setting.
  • Proficiency with office software, digital calendars, typing, and document formatting.
  • Strong organizational, record-keeping, proofreading, and attention-to-detail skills.
  • Strong written and verbal communication skills.
  • Professionalism and discretion when handling confidential information.
  • Courteous, pastoral, service-oriented demeanor.
  • Ability to prioritize responsibilities, meet deadlines, and manage multiple tasks.
  • Commitment to the mission and values of Wells Memorial COGIC and to performing duties in a way that glorifies Christ.
